Overview
Records Portal is a document-publishing and access-control platform run by Madison Bureau of Investigations for its own roleplay community. As the notice on every page says, this is a fictional roleplay project — nothing published here carries any real-world government, legal, or official authority, regardless of how it is titled or formatted. By using this site you agree to these Terms of Service, this is to ensure that every visitor understands the fictional nature of the content and the rules that govern access to it.
Accounts & access
Most of the site is read via a Discord sign-in, and what you are allowed to read, write, or administer is determined by the roles you hold in this community's Discord Server, whilst a small break-glass Admin Account exists outside of Discord to bootstrap and recover the system. The Admin Account is restricted to Administrators, and every action it takes is logged the same as anyone else's. This is important because it prevents that account from operating without accountability, and it allows the community to review any exceptional access that takes place.
Acceptable use
Roleplay premise aside, you agree not to use this site to do any of the following:
- Harass, threaten, or dox another member — in character or out of it. This is to ensure that the community remains a safe environment for everyone involved, regardless of whether an interaction is framed as roleplay.
- Post real illegal content, or content that violates Discord's own Terms of Service. This is necessary because the site is an extension of a Discord community, and as a result the standards set by Discord apply here.
- Attempt to bypass Access Controls — for example, by guessing or sharing another member's Access Code, or by probing for content you have not been granted access to. This is to protect the integrity of the gating system and the privacy of documents that are not meant to be public.
- Impersonate a real person, agency, or organisation in a way meant to deceive. This is to prevent confusion between the fictional content of the site and real-world entities.
Furthermore, Administrators can remove content or revoke access for violations at their discretion, this is to ensure that serious or repeated breaches can be dealt with quickly.
Content you submit
You keep ownership of what you write or upload here. By submitting it, you give Madison Bureau of Investigations a licence to host, display, version, and moderate it as part of the site — including editing or removing it, same as any community-run wiki. This licence is required because the site cannot function without storing and showing the material that members contribute. Do not upload anything you do not have the right to share.
History & moderation
Every save creates a new version rather than overwriting the last one, every access-relevant action is recorded in an Audit Log for Administrators. "Deleting" a document hides it rather than erasing it outright, so it can be recovered — this history is kept even after removal, to preserve accountability for the community. This is important because it allows Administrators to investigate disputes and recover content that was removed by mistake.
Access codes
Some documents gate individual files behind a code instead of a Discord role. Anyone holding that code can read the document it protects — keeping the code within its intended audience is your responsibility, as we cannot enforce distribution technically. Access Codes never grant edit access, this is to ensure that the code only opens the document it guards and does not become a back door to make changes.
Revoking access
Because access here is tied to your Discord roles, losing a role — whether you leave it, it is removed, or you leave the Discord Server entirely — can immediately change what you are allowed to read or edit. Administrators may also revoke access directly for a Terms of Service violation, this is to ensure that breaches can be acted on without needing to wait for Discord role changes to take effect.
No warranty
This is a volunteer-run community project, provided as-is, with no guarantee of uptime, accuracy, or that any given feature will keep working exactly as described. To the extent the law allows, Madison Bureau of Investigations is not liable for loss or damage arising from your use of the site, this is to set clear expectations about what the project can realistically support.
Changes to these terms
These Terms may change as the site does. We will update the date above when they do, and we will post a notice in the community for anything substantial. Continuing to use the site after a change means you accept the new Terms, this is to ensure that members are given clear notice before the updated rules apply to them.
